PolySteel UK Ltd is a manufacturer and supplier of a pre-insulated building block called Warmerwall Insulated Concrete Forms.

PolySteel acts as a data controller (The Company) and is committed to ensuring the privacy and security of your personal data.

How do we collect information from you?

We collect information from you to give you the most efficient level of service possible. Some, if not all, of this information is considered as personal data where it can be linked back to your name. We collect this information when you complete forms either on our website or in person or when you correspond with us by phone, email, social media or otherwise.

This includes information you provide us so that we may in turn provide you information such as estimates, guides, technical data or about products and services offered by us or others.

  • Request from us professional and technical contact details and assistance from third party suppliers including architect, engineers, specialist third party ICF build teams, waterproof specialists, and other relevant companies which offer a build service.

  • Use our website.

  • Visit our premises or meet one of our representatives onsite at your own or a third-party site.

What type of information is collected from you?

We will only collect enough information from you to perform the service requested.

  • Your name (will be linked to a unique PS number which will assist in filing, record keeping, and the retrieval of information associated with your project)

  • Your contact telephone numbers and email addresses (will be used to communicate with you and relay information relative to your enquiry)

  • Your postal address and project site address including access (will be used for billing purposes, for logistical costing, and for advising on local related service providers)

  • Your relationship to the building project (to aid us in understanding the project)

  • Building Plans, Project Details, Images and Photos (will help with communicating an idea or issue, create supply estimates and will help with recording jobs that our products have been used on to city/town detail level)

  • On Site Build Team Contact Details (installation compliance)

  • Payment Details (either Bank Transfer, using our bank details supplied by us or for clients paying via debit/credit card, we will collect verbally over the phone the card details which will be immediately entered into a card payment machine supplied by Worldpay. Should your circumstances change, we may also ask for the following to allow us to provide an accurate and high level of service and relevant information:

  • Your new address should you move home including contact phone numbers and confirmation of email addresses in order to service our contractual requirements.

  • A request for a copy of updated building plans where alterations have taken place for example due to a client design change or a request to comply with planning requirements.

Information collected from other sources

We may initially obtain your personal data and project information when you interact with us through a third-party source such as an architect or a structural engineer. In this instance, we will contact you within one calendar month to confirm the enquiry and forward our privacy policy details including how to opt out from our service.

How do we use your personal data and for how long is it stored?

We’ll use your personal data for the purposes outlined below -

Where the company answers an enquiry or provide estimates

A record of your phone call or email enquiry, where it contains your name, will be kept for a period of approximately 10 years. Estimates and plans that are sent from the company or plans received from you will be kept for approximately 10 years, this is to assist should there be delays, for example with planning. They will be deleted earlier than this if you contact us to let us know that you no longer need us to keep your details.

Where you have asked for or the company believes there to be benefit to you, providing a link to other third-party businesses or persons.

Your name, PolySteel PS number, email address and postcode will be given (to enable a suitable response) to the third party. These introductory emails will be kept for approximately 10 years.

Where a third-party company needs your personal data to fulfil their service to you through the company (example: haulier will need your name and address, email and phone numbers to effect delivery)

These records will be kept in accordance with the Privacy Policy of the third party providing the service. For details of the company, please ask us.

Where the company provides a service or product.

Where an enquiry evolves such that a service or product is provided by the company or is purchased, it will be necessary to keep associated data for a period of approximately 10 years.

We keep your personal data for as long as we need to for the purposes for which it was collected or for any period for which we are required to keep personal data to comply with our legal and regulatory requirements or until you ask us to delete your personal data, in accordance with your rights below. Usually, our emails are archived for 10 years before being deleted. However, we will regularly assess the personal data that we hold to determine its relevance and destroy your personal data if we no longer require it or no longer provide any services to you.

Pictures of projects undertaken with the product may be used ongoing by the company unless you request in writing that they are no longer used. At this point, we will set about removing the images from any new marketing material being produced within one calendar year of receiving the request.

Who do we share your information with?

We don’t sell your information to anyone. We share the information that is provided to us only to:

  • Third Party Service Providers such as communications provider (Gradwell), email service provider (Microsoft), CRM provider (Pipedrive) and transport haulage companies who provide services to us so that we are able to fulfil our obligations to you.

  • To contractors where they can provide an additional service to help you with your build. (example: waterproofing, rendering, installing our blocks, ventilation engineers etc.).

  • If we have a legal obligation to disclose your information (for example if a court order us to)

At the end of your relationship with us you can ask us to delete your personal data and we will do so within one calendar month as far as we are reasonably able and subject to our legal requirements to retain such data. You can also request that we provide you with written confirmation of the deletion of your personal data.

What happens if there is a breach of my personal information?

If the company notice or the company is informed of a data breach of your personal data, the company will give you notice of the breach so that you may adequately protect yourself from consequences of the breach accordingly.
